1. Introduction & Acceptance
These Terms and Conditions ("Terms") govern your use of this website and your engagement with the divisions of Maplazini Safaris (Pty) Ltd: Safari Concierge, Safari Atelier, and Safari Management & Advisory. By using this website, submitting an enquiry, placing an order, or engaging any Maplazini division, you accept these Terms in full. If you do not agree with any part of these Terms, please do not use this website or our services.
2. Definitions
"Maplazini," "we," "us" and "our" refer to Maplazini Safaris (Pty) Ltd and its divisions collectively, unless a specific division is named. "You," "your," "client," "traveller" and "guest" refer to any person or entity using this website or engaging our services. "Services" means any service offered by Safari Concierge, Safari Atelier or Safari Management & Advisory. "Suppliers" means third-party lodges, camps, ground operators, transfer companies, activity operators and other travel-trade partners engaged in fulfilling a booking.
3. Our Role & Divisions
Maplazini Safaris (Pty) Ltd operates three distinct divisions, each governed by these Terms and, where relevant, additional division-specific terms provided at the time of booking or engagement:
Safari Concierge curates and arranges tailored safari itineraries by acting as booking agent and intermediary between you and third-party Suppliers. Safari Atelier offers a curated range of branded safari clothing and accessories, available by direct enquiry. Safari Management & Advisory provides financial leadership, systems, people and governance advisory services to lodge and reserve owners, operators and investors, under separate written engagement terms.
4. Safari Concierge — Enquiries & Quotations
Itineraries, pairings and prices shown on this website are illustrative only, intended to convey pace, pairing and an approximate price floor for high-end travel. They do not constitute an offer capable of acceptance. A binding quotation is only created once we issue a written, itemised proposal specific to your enquiry, confirming dates, accommodation, inclusions, exclusions and final pricing. Quotations are valid for the period stated on the quotation itself and are subject to change without notice due to Supplier rate changes, currency fluctuation, or availability, until a deposit has been received and confirmed by us in writing.
5. Safari Concierge — Booking, Deposits & Payment
A booking is only confirmed once we have received your signed acceptance of the written quotation, together with the required deposit. Unless otherwise specified in your quotation, a non-refundable deposit of 30% of the total itinerary cost is payable to secure a booking, with the balance due no later than 60 days prior to the commencement of travel. For bookings made within 60 days of travel, full payment is typically required at the time of booking. Certain Suppliers, particularly in high-demand periods or peak season, may require higher deposits or earlier full payment, which will be disclosed at the time of quotation. All prices are quoted in US Dollars unless otherwise stated, are per person sharing unless otherwise stated, and exclude international and regional flights, visas, travel insurance, gratuities and personal expenses unless expressly included.
6. Safari Concierge — Cancellations, Amendments & Refunds
Cancellation and amendment policies are set by our Suppliers and will vary by lodge, camp, season and itinerary; the specific policy applicable to your booking will be disclosed in your written quotation and booking confirmation. As a general guide, cancellations made more than 90 days before travel typically forfeit the deposit only; cancellations made between 90 and 45 days before travel typically forfeit 50% of the total cost; and cancellations made within 45 days of travel typically forfeit the full cost. Amendments to a confirmed booking (dates, party size, itinerary changes) are subject to Supplier availability and may incur amendment fees. We strongly recommend that all travellers obtain comprehensive travel insurance, including cancellation cover, at the time of booking.
7. Safari Concierge — Travel Documents, Health & Insurance
You are solely responsible for ensuring you hold a valid passport (with the minimum validity required by each destination country, typically six months beyond your return date), any required visas, and any required vaccination certificates (such as yellow fever, where applicable). We strongly recommend consulting your doctor or a travel health clinic regarding recommended vaccinations, malaria prophylaxis, and other health precautions for the destinations on your itinerary, well in advance of travel. Comprehensive travel insurance, including cover for medical emergencies, evacuation, trip cancellation and lost luggage, is a condition of travel with us and must be arranged by you before departure.
8. Safari Concierge — Inherent Risks of Safari Travel
You acknowledge that safari travel takes place in remote, wild environments involving free-roaming wildlife, light aircraft transfers, water-based activities, and travel over unpaved or uneven terrain, and that such travel carries inherent risks beyond our control or that of our Suppliers. By booking with us, you accept these inherent risks and agree to comply with all safety instructions given by guides, lodge staff and Supplier personnel throughout your itinerary.
9. Safari Atelier — Signature Range & Enquiries
The Safari Atelier Signature Range is offered exclusively by direct enquiry, rather than as an open retail catalogue, in order to preserve the exclusivity and limited availability of the range. Items, imagery and descriptions shown on this website are representative examples only and do not constitute an offer to sell a specific item at a specific price. A binding sale is only created once we confirm item availability, final pricing, and delivery details to you in writing following your enquiry.
10. Safari Atelier — Orders, Payment & Delivery
Once an order is confirmed, full payment or an agreed deposit (as specified at the time of order) is payable before dispatch. Prices are quoted in US Dollars unless otherwise agreed and exclude international shipping, import duties and taxes, which are the responsibility of the recipient unless otherwise stated. Delivery timeframes provided at the time of order are estimates only and may be affected by production lead times, customs processing, or courier delays outside our control.
11. Safari Atelier — Returns & Exchanges
Given the made-to-order and limited nature of much of the Signature Range, returns and exchanges are considered on a case-by-case basis and must be requested in writing within 14 days of delivery. Items must be unused, unworn, and returned in their original condition and packaging. Custom, personalised or made-to-measure items are not eligible for return or exchange unless faulty. Where an item is confirmed faulty, we will offer a repair, replacement or refund at our discretion.
12. Safari Management & Advisory — Engagement of Services
Advisory services are provided under a separate written engagement letter or service agreement entered into individually with each client, which will set out the specific scope of services, deliverables, fees and duration of engagement. These website Terms apply to your general use of this website and initial enquiry process; they do not override the specific terms of any signed engagement letter, which shall take precedence in the event of any conflict.
13. Safari Management & Advisory — Fees, Confidentiality & Limitations
Fees for advisory services will be set out in your engagement letter and are typically payable monthly in advance or as otherwise agreed. We treat all client financial, operational and business information as confidential, and will not disclose it to third parties except as required to deliver the agreed services, with your consent, or as required by law. Advisory recommendations are based on the information provided by the client and prevailing market conditions at the time; we do not guarantee specific financial, operational or investment outcomes.
14. Intellectual Property
All content on this website, including but not limited to text, itineraries, graphics, logos, branding, illustrations and photography, is the property of Maplazini or its licensors and is protected by applicable intellectual property laws. You may not reproduce, distribute, modify or create derivative works from any content on this site without our prior written consent, save for personal, non-commercial reference.
15. Website Use & Acceptable Conduct
You agree to use this website only for lawful purposes and in a manner that does not infringe the rights of, or restrict or inhibit the use and enjoyment of this site by, any third party. You must not attempt to gain unauthorised access to this website, its servers, or any systems connected to it.
16. Third-Party Suppliers & Links
Maplazini acts as an intermediary and booking agent between you and third-party Suppliers for Safari Concierge bookings. While we take care in selecting our Supplier network, we do not own, operate, manage or control any lodge, camp, ground operator, airline, or other third-party service provider, and we are not liable for their acts, omissions, negligence, insolvency, or failure to deliver services as described. This website may also contain links to third-party websites; we are not responsible for the content or practices of any linked site.
17. Limitation of Liability
To the fullest extent permitted by law, Maplazini's total liability to you in connection with any Service shall not exceed the total fees paid by you to Maplazini for that specific Service. We shall not be liable for any indirect, incidental, special or consequential loss, including loss of enjoyment, loss of profits, or loss arising from Supplier default, flight delays, weather, wildlife activity, illness, or other circumstances beyond our reasonable control. Nothing in these Terms limits liability that cannot be lawfully limited or excluded, including liability for death or personal injury caused by our proven negligence.
18. Indemnification
You agree to indemnify and hold Maplazini, its directors, employees and agents harmless from any claim, loss, liability or expense (including reasonable legal fees) arising from your breach of these Terms, your misuse of this website, or your conduct while travelling on a Maplazini-arranged itinerary.
19. Force Majeure
Neither party shall be liable for any failure or delay in performance caused by circumstances beyond its reasonable control, including but not limited to natural disaster, extreme weather, pandemic or epidemic, government action, civil unrest, war, terrorism, strikes, or Supplier failure arising from such events. Where a Force Majeure event affects a confirmed booking, we will work with you and our Suppliers in good faith to reschedule, substitute, or otherwise resolve the impact, but cannot guarantee a full refund where costs have already been incurred with Suppliers.
20. Governing Law & Dispute Resolution
These Terms are governed by the laws of the Republic of South Africa. Any dispute arising from these Terms or your use of our Services shall first be referred to good-faith negotiation between the parties; if unresolved within 30 days, either party may refer the dispute to mediation or, failing resolution, to the jurisdiction of the South African courts.
21. Amendments to These Terms
We may update these Terms from time to time to reflect changes in our Services, legal requirements, or business practices. The version published on this website at the time of your booking or enquiry shall apply. Material changes affecting an existing confirmed booking will be communicated to you directly.
22. Severability & Entire Agreement
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. These Terms, together with any specific written quotation, booking confirmation or engagement letter issued to you, constitute the entire agreement between you and Maplazini in respect of the relevant Service.
